Provide administrative and logistics support for management and employee, thereby enabling their internal customers to focus on their core responsibilities
Key Responsibilities
1. Time management for managerial roles * Schedules meetings/ interviews * Assists with visitors and customers * Handles documentation and filing * Organizes material for staff meetings, including preparation of minutes, as necessary
2. Providing end to end support for Event management for units or cross units: * Arranges Offsite meetings, conventions, conferences and seminars * Prepares spreadsheets and/or PowerPoint presentations * Assists with internal projects, when needed * Coordinates and executes employee welfare activities
3. Organizing and handling hotel, and travel arrangements for business trips * Maintains a strong back office during the manager`s travels
4. Logistics support for all employees: * Examples: Manages office equipment, provides Welcome kit for new employees, provides Help Desk assistance, manages Outlook distribution lists, assists with Guest Visit, orders business cards
5. Regional Specific : * Performs many of the PMO responsibilities for management roles in terms of people connect, MIS and care budget management * Portal Updating & maintenance * Administering Library * Develop employee Surveys as per unit requests * Coordination of employee movements and updating of occupancy and vacancy status on floor
Critical ExperiencesA minimum of 3 years practical business/administrative experienceProficiency in written and spoken business EnglishProficiency with Microsoft Office computer programs, specifically MS Office A high degree of proactiveness, professionalism and strong work ethic coupled with a sense of responsibility and integrity.Excellent meeting planning, project management, and organizational skills.Excellent judgment and discretion required in handling highly sensitive, privileged, confidential and/or non-public information in an appropriate manner.Ability to make decisions and recommendations for situations not falling clearly within established rules or guidelines necessary.Strong initiative, good judgment, resourcefulness, and perseverance.Ability to work under minimal supervision under tight time constraints.Ability to work independently but also partner as a team player.Out of the box thinking and ability to use common sense and take decisions on feet.
