- Provides full office administrative support to the Managing Director/Finance Director.
- Schedules, organizes and coordinates internal & external meetings, conference calls, business reviews, events and other logistical arrangements, both independently and by working closely with the local and broader Asia Cluster.
- Liaises with other internal stakeholders, Asia Cluster and HQ to plan Managing Director’s/Finance Director’s calendar and key events.
- Performs a wide range of daily administrative tasks for the Managing Director/Finance Director which include, but is not limited to, managing an active calendar, handling of expense reports and invoice payments, handling incoming calls, attending to walk in customers and visitors, following up on work tasks and email correspondence, scanning of documents, mailing of letters or packages, making reservations, running business and / or personal errands etc.
- Manages travel and hotel arrangements, visa applications and other logistical arrangements for the Managing Director/Finance Director and visitors or customers.
- Manage expense reports tor Managing Director.
- Handles confidential matters privy to the Managing Director/Finance Director with the utmost integrity and discretion and maintains the security of personal and company data and information.
- Attends meetings with the Managing Director/Finance Director as required, takes minutes and provides timely and effective updates on the progress of actionable items assigned to each person.
- Performs any other duties as and when assigned by the Managing Director/Finance Director.
- Organize meetings such as monthly management meeting, review meetings and others as required.
- Gather, consolidate information, and prepare presentations from relevant personnel including coordinate agendas/presenters for meetings.
- Plan and coordinate off-site meetings as required, including site location and all logistics.
- Organize, support and collaborate with other teams for Employee Events.
- Work on special projects and support other business/function leaders as needed.
